Terms & Conditions

These policies apply to bookings, website use, and customer communications for Nana's Bears.

Effective date: March 16, 2026

Booking and Deposits

A 50% deposit is required to reserve your event date.
Your booking is not confirmed until the deposit has been received.
The remaining balance is due on the day of the event unless we agree to something else in writing.

Our team typically arrives about 30 minutes before the scheduled start time.
Close parking near the event area is required so we can unload and move equipment safely.
Standard pricing assumes ground-level access. Extra labor charges may apply for stairs, long carry distances, elevators with delays, or other difficult access conditions.
Events at locations without power access, including many public parks, require a generator fee of $85 unless we confirm another setup in advance.

A 15-plush minimum applies unless a different minimum is listed for your selected package.
Pricing is based on the package, guest count, add-ons, travel, and any site-specific setup requirements.
Travel fees may apply for events outside our standard service area or for venues that require additional drive time.

We accept the payment methods listed on our website or invoice at the time of booking.
If you need to change your event details, contact us as soon as possible and we will confirm whether we can accommodate the request.
Package counts, personalization choices, and add-ons should be finalized before the event date so we can prepare materials correctly.

- If you cancel more than 14 days before the event, amounts already paid are refundable in full.
If you cancel within 14 days of the event but more than 7 days before the event, any deposit already paid is non-refundable. If you paid in full, we may retain 50% of the amount paid and refund the rest.
If you cancel within 7 days of the event, payments already made are non-refundable.
If you need to reschedule, we will make a reasonable effort to move your date based on availability.
Deposits already applied to custom-prepared materials or committed inventory may remain non-refundable.

You are responsible for securing any venue permission, permits, or site access needed for the event.
We may limit or adjust service if conditions at the venue are unsafe, inaccessible, or materially different from what was described at booking.
We are not responsible for delays or interruptions caused by venue restrictions, weather, power issues, or other circumstances outside our reasonable control.
